10 Tips for Wedding Vendors: A Wedding Season Survival Guide

Here at Lang Floral Designs, we have created wedding flowers for more than 150 weddings. I have been in the industry for almost a decade. The first several years, I ran this business on the side of my full time Graphic Design career. Then, when I had my first baby, I decided to quit my full time job and build this business into more than just a side hustle. This business has followed me through my twenties, and well into my thirties. So, I have worked weddings under many different scenarios;

When I was younger and working full time, I would stay up almost all night before a big wedding arranging, because I didn’t get off work until 5pm. Those early years, I remember doing wedding set-up days completely exhausted from pulling an all-nighter. However, I had my youth on my side, so physically I was some how able to handle that. I’m 39 now, and let me tell you, there’s NO WAY I would try to stay up all night working before doing a wedding. I think I would literally pass out the next day.

I’ve done weddings while in the first trimester of pregnancy when exhaustion is beyond what any normal person experiences. And then in the third trimester when I was doing that wonderful pregnancy waddle thing just trying to make it from one side of the venue to the other. I spent the entire first year of motherhood nearly throwing my back out from every single wedding. There were so many difficult and unhealthy seasons, and if you’re in the wedding industry in any capacity, you know that weddings are HARD WORK.

Through the years, I’ve learned some valuable tips and tricks to help get through a busy wedding set up day, and ultimately, wedding season! I’ve even asked some wedding industry friends of mine for their go-to resources so I could share them with you. Several gave me one very valuable trick that I hadn’t even thought of (tip #4). At this stage of my business, I feel like I’m at the healthiest I’ve ever been in terms of knowing where my limits lie physically, knowing what steps I need to take for a quick recovery so I can do it again the following weekend, and knowing when I need to call in the troops for help.

So let’s dive right in:

How To Create the Perfect Intimate Wedding

This post may contain affiliate links.  See my disclosure policy to learn more.

These days, an intimate “micro” wedding is becoming so much more appealing to many couples. So earlier this year, some wedding vendor friends and I got together to create this styled shoot to represent a beautiful intimate wedding using earthy colors and textures, with a few boho details. We chose a cottage-style wedding venue, with a mix of indoor/outdoor spaces, and that rugged vintage charm that makes for that perfect intimate feel. If you would like to learn more about what a styled shoot is in the wedding industry, and hear the full story behind this photo shoot, click HERE. And, if you’re considering an intimate “micro” wedding, take a look at our TOP 10 MICRO WEDDING IDEAS.

My nickname for this color pallet is “Butterscotch Sunset”, haha. I chose these colors to compliment the natural elements of this gorgeous cottage-style wedding venue, like the rugged wooden features of the open-air tent and the stone detailing of the on-site cottage. We knew that including items with a more natural, organic feel would be key to create this charming and earthy look to accompany the intimate feel of a micro wedding.

It kind of blows my mind that this eucalyptus winter wedding was our 100th! I can remember each and every one of the 100 weddings we’ve done, and have a great sense of appreciation for each wedding. It’s an absolute honor to be chosen to work on a wedding, and I never take for granted the weight of each event. Two people are getting married and starting their lives off together…and I get to be a part of it. It’s really amazing that we have been involved in 100+ at this point.

Earthy Wedding Decor – A Styled Shoot with Natural Elements

Back in the Fall, my friend Katherin from Resounding Whispers Photography and I started talking about doing a styled shoot together this Spring. We decided to do earthy wedding decor and collaborate with some of our favorite Chattanooga-area vendors. Little did we know, Spring 2020 was going to be practically non-existent due to COVID-19.

Wedding Budget Breakdown with Percentages

As owner and lead florist of Lang Floral Designs, a wedding floral studio in Chattanooga, Tennessee, I see a very wide variety of wedding budget breakdown percentages. Each bride or client who reaches out to us about their wedding flowers receives a questionnaire from us which includes a few questions about their wedding and floral needs so we can review it and make sure we’re a good fit. Within that list of questions is “Overall Wedding Budget” and “Floral Budget”, and I can’t tell you how often we get an answers like “I really have no idea what I should be spending on flower (or what wedding flowers cost), so right now I’m just looking for some pricing.”

However, before we schedule our first meeting, I require some kind of answer about the budget breakdown from them. Here’s why: What if the floral budget is a huge question mark and after we meet I give them a quote for their DREAM WEDDING floral package of $5,000+? But if they were actually hoping for a quote of under $2,000, then the bride is going to be so shocked by the quote that she’ll probably just move on to the next florist in town. So now we’ve both waisted a bunch of time.

I would so much rather get a sense of what the client feels would be reasonable for their wedding. It’s not that we can’t work within a smaller budget. But with a rough budget of about $1,800, I would have never spend an hour+ in a meeting talking about the DREAM wedding package. We would have looked at her inspiration pictures and said “Okay, so if you LOVE this extravagant centerpiece, but you’re on a tight budget, maybe we could do 4 centerpieces similar to that (slightly scaled down), and 10 smaller and more affordable centerpieces on the remaining tables to balance out the cost.”

So how much should you be spending in each category of your wedding budget? Read more to see our suggested percentages and download your own customizable wedding budget Excel spreadsheet!
